When a prospect no-shows, the default response is to silently move on. That's the wrong move. A meaningful percentage of no-shows are reactivatable - they got pulled into a meeting, lost track of time, or had a real emergency. The right second touch turns a missed call into a closed deal.
Why no-shows matter more than you think
If your show rate is 70% and your no-show recovery rate is zero, you're losing 30% of every booked call permanently. Even modest recovery (re-booking 30% of no-shows) compounds into 9% more total meetings - across hundreds of calls per month, that's serious revenue.
How we run it
1. Detect the no-show in real time
The system flags any call where the prospect didn't join within 5 minutes of the start time. The flag triggers the recovery sequence automatically.
2. The same-day reschedule
Within 30 minutes of the missed call, an automated message lands - friendly, no guilt: "Looks like we crossed wires. No problem - I held the slot open. Want to grab a quick 15 mins later this week? [Calendar link]"
The tone matters. Guilty / passive-aggressive copy kills the reactivation rate. Helpful and easy is the unlock.
3. Day 2 follow-up with value
If they don't reply same-day, a follow-up the next morning includes something useful: a 2-min Loom of what we would've covered, a relevant case study, or a 1-pager. We're saying: "Here's the value you would've gotten - want to grab time to dig in?"
4. Multichannel re-engagement
Day 3-4: LinkedIn touch with the same offer. Day 5-7: a final email with a deadline ("happy to hold this slot through Friday") and a soft farewell after. Three touches across two channels recovers most no-shows that are recoverable.
5. Long-term re-add
If they don't reschedule after the full sequence, they go back into nurture - newsletter, periodic content, quarterly reactivation. They're not lost - just deferred.

What to watch for
- Tone is everything. Anything guilt-inducing kills the reactivation.
- Don't reactivate forever. Three touches over 7 days, then back to nurture.
- Track no-show recovery rate as a separate KPI. Above 30% is excellent.
