A personalised, multichannel reminder cadence that lifts sales call show rates 20-30% without feeling automated.

The Pre-Call Reminders Playbook is a personalised, multichannel reminder cadence that lifts sales call attendance 20-30% without ever feeling like spam. A booked call is worth nothing if the prospect does not show up, and show rates below 70% silently kill more pipeline than bad copy ever will. This play replaces Calendly's default email blast with two or three reminders that are helpful, human, and timed to when prospects actually drop off.
No-shows are not random. They follow four predictable patterns:
Each reminder in the cadence is built to counter one of these failure modes, which is why the timing matters as much as the message.
| Reminder | Timing | Channel | Job |
|---|---|---|---|
| Booking confirmation | Within 30 minutes of booking | Prove a human is on the other end and surface no-show risk early | |
| Day-before reminder | 24 hours out | Prime the conversation with something useful | |
| Same-day check-in | 30 minutes before | Email or LinkedIn DM | Catch last-minute conflicts and confirm the link |
| Two-minute ping | 2 minutes before | SMS or LinkedIn | Final nudge for tier-one prospects only |
Within 30 minutes of booking, we send a personalised confirmation. Not an automated "Your meeting is confirmed", but a real message: "Looking forward to talking [topic] on [day]. Quick question to make the call useful: [specific scoping question]."
The reply rate to this message is itself a signal. Prospects who reply show up 90%+ of the time. Prospects who do not reply at all are pre-flagged as no-show risks.
24 hours out, we send a reminder that includes something useful: a relevant case study, a 2-min Loom walkthrough of what we will cover, or an agenda the prospect helped shape. The reminder is not "don't forget". It is "here's something that primes the conversation."
30 minutes before the call, a short Slack-style message: "See you at [time]. Calendar invite has the link, reply here if anything's changed." Multichannel matters here. If the prospect did not engage with email, the LinkedIn DM lands harder.
For high-stakes calls, a 2-minute-before SMS or LinkedIn ping. This bumps show rates another 10-15%. Do not overuse it. Reserve it for tier-one prospects.
Calendly with custom workflows. n8n or Zapier for the automation logic. Twilio for SMS. Claude for personalised reminder drafting. HeyReach for the LinkedIn touches. Slack for sales-team handoffs.
Track show rate as a north-star metric. Below 80% means the reminder system needs tuning. Show rates below 70% silently kill more pipeline than bad copy ever will.
Two or three. Do not send 5 or more, because five feels like nagging. The cadence we run is a same-day booking confirmation, a day-before reminder with value, a same-day check-in, and an optional 2-minute-before ping for tier-one prospects.
Four reasons: calls booked more than 7 days out have 30%+ lower show rates, the prospect forgets why they booked, the original sequence gets buried under 200 other emails, and last-minute conflicts win when there is no nudge.
Yes. Prospects who reply to the personalised confirmation show up 90%+ of the time. Prospects who do not reply at all are pre-flagged as no-show risks and get extra attention in the cadence.
2 minutes before the call, for high-stakes calls only. It bumps show rates another 10-15%, but reserve it for tier-one prospects. Overusing it turns a helpful nudge into nagging.

Book A Call
When a tier-one prospect engages, sales gets pinged in Slack within seconds. Reply within minutes and the deal is yours.

An AI agent reads the call transcript and drafts the complete follow-up sequence within 5 minutes of the call ending.

Most no-shows convert with the right second touch. Letting them disappear is the most common pipeline leak in B2B sales.
